The Expiring Memberships dashboard tracks Paid-in-Full and Recurring memberships that are expiring soon or have already ended in the selected reporting period.
You can monitor members who are going to expire soon and click to drill down to Member List to view those members and take action toward renewal.
For this dashboard, memberships that have already ended may have reached their expiration date or may have ended for another reason, such as requested cancel. To keep the reporting focused on active renewal opportunities, inactive members are excluded, even if they still have an expiration or end date within the reporting time frame.
Paid-in-Full (PIF)
PIF renewal definition
Renewed PIF memberships are identified by:
- Agreement Type = Continual Renewal
PIF Metric Definitions
- PIF Members: Members with paid-in-full memberships, identified by Payment Terms = Cash or Paid in Full.
- Expiring PIF Members: PIF members that have an expiration or end date from today through the end of the selected reporting period. These members have not ended yet.
- Dues Expiring: The sum of the last payments made in the Dues/Fees profit center group for PIF members included in Expiring PIF Members. For PIF members, the last dues payment is used as the best available value of the membership revenue currently at risk.
- Expired PIF Members: PIF members that have an expiration or end date from the beginning of the selected reporting period through yesterday. These memberships have already ended in the reporting period, whether by expiration or another ending status such as requested cancel, and do not have an updated agreement.
- Renewed PIF Members: PIF members who have a new agreement sale in the selected reporting period with Agreement Type = Continual Renewal.
Recurring
Recurring renewal definition
Renewed recurring memberships are identified by:
- Agreement Type = Renew
- Agreement Type = Renewal
- Agreement Type = Renewed
Recurring Metric Definitions
- Recurring Members: Members with recurring memberships.
- Expiring Recurring Members: Recurring members that have an expiration or end date from today through the end of the selected reporting period. These members have not ended yet.
- Dues Expiring: The recurring membership dues associated with members included in Expiring Recurring Members.
- Expired Recurring Members: Recurring members that have an expiration or end date from the beginning of the selected reporting period through yesterday. These memberships have already ended in the reporting period, whether by expiration or another ending status such as requested cancel, and do not have an updated agreement.
- Renewed Recurring Members: Recurring members who have a new agreement sale in the selected reporting period with Agreement Type = Renew, Renewal, or Renewed.
Technical Notes:
- for ABC, we use the expiration date provided in the API
- For Club Automation, we use the Expiration date or Date of end of agreement
- For Jonas, we use the ExpireDate or VoidDate, whichever is first
