In addition to performance improvements and bug fixes, the following visible updates were made:
 

By Popular Request!

  • Member Mix dashboard: added additional view-by options to slice and dice our membership reports even more ways. New options include combinations of Club, Membership Type Group, PIF Membership (Recurring vs PIF), and Member Status. If you have a specific slice you'd like to analyze, let us know!
     
  • New Member Detail dashboard: Added direct linking from the New Member Mix and Salesperson Performance dashboards into New Member Detail for the selected time period. You can also click any member to open their current full profile in Member List
     
  • Member Referral Analysis dashboard: added the metric Avg Lifetime Spend per Referred Member.
     

Club Automation Integration Updates

This sprint we refined our Club Automation integration with updates to member metrics, revenue accounting, and PT service item reporting.
 

New Member Metrics Update 

We’ve updated how New Member Units and New Agreements metrics are defined for Club Automation clients:

  • New Members: Count of individual members based on their first agreement date.

  • New Member Units: Count of individual members associated with agreements where the agreement type is New, Renew, or Reactivated.   

    • This metric now includes only these agreement types (excluding Changed To, etc.).

    • Members who cancel within 30 days of the agreement sale are removed from this metric as soon as the cancellation occurs.

  • New Agreements: Count of agreements where the agreement type is New.  

    • This is now a pure “new agreement” count (regardless of how many members are on the agreement).

    • Agreements cancelled within 30 days of the sale are removed.

    • Previously, additional agreement types (e.g., Changed To, Reinstated, etc.) were included. 

Of these metrics, New Member Units is the broadest because it includes Renew, Reactivated and can include multiple members per agreement.  

You can find these metrics across Easalytics member dashboards, including Member Mix, Membership Trends, New Member Details, Net Membership, and Goals New Members, among others.  

Known Limitation: If an agreement is processed after 10:00 PM local time in Club Automation, we do not receive it in the nightly data push, so will not show in Easalytics the next day. However, it will be picked up the next day, and will appear in Easalytics 2 days after the transaction. We are working with Club Automation on this. 
 

Revenue Metrics Updated for Cash Accounting Clients 

We’ve expanded our Revenue reporting to support Club Automation's Cash Accounting model, in addition to the existing Accrual Accounting model.  Based on which model the client selected in Club Automation, Easalytics will follow the same model. This update allows for accurate revenue reporting compared to Club Automation reports (Accounting Groups, Transaction Summary) for Cash Accounting clients.

  • Cash Accounting: Revenue is recognized when payment is received.

  • Accrual Accounting: Revenue is recognized when the charge is generated, regardless of payment status. (source)

Known Limitations: there are two limitation we're working through with Club Automation: 

  • We do not receive the GL/accounting group for some returns/refunds, which may cause them to show up as Profit Centers in Easalytics.

  • We are not currently able to identify refunds paid with account credit to remove the negative amount from Revenue totals. This can cause Easalytics to slightly under-report revenue in cases where account credits are issued.
      

Recurring Service & Package Enhancement

We’ve expanded Easalytics' Service Item Grouping to include Club Automation Packages and Add-Ons.  This enables clearer PT (Paid Service) sales reporting in our PT Sales Revenue and Enrollment, PT Sales Trends, and PT Scorecard dashboards with the following breakouts:

  • New PT EFT Draft (Recurring): the initial sale that starts a recurring service.  This is reported as a monthly amount, with the charge normalized for billing frequency (e.g. bi-weekly would be x2)

  • PT PIF (Paid in Full): a package of sessions purchased with no recurrence

  • Cancelled PT EFT Draft: the normalized monthly billing amount lost for recurring services that were cancelled, expired, or ended during the reporting period

You can now categorize Club Automation's Packages and Add-Ons as PT in Easalytics Admin > Service Item Grouping page. Any Service Items in a group that is flagged as PT will flow into PT dashboards with PT EFT Draft and PIF sales breakouts. Service items that are ungrouped or in a group not flagged as PT are excluded from PT sales reporting.

Revenue reporting continues to flow through Profit Center Groups. PT sales reporting flows through the PT flag on Service Item Grouping. Club Automation does not have a 1:1 relationship between profit center and service item, so these remain separate paths.

Known limitation: Some package payments in the Club Automation data vault aren’t being associated with their packages. As a result, Easalytics is reporting payments as new paid-in-full (PIF) purchases or refunds, rather than a recurring transaction. We’re working with Club Automation to resolve this.
 

Other Noteworthy Enhancements and Bug Fixes

  • Class Attendance & Enrollment bug: Fixed a bug for Club Automation clients where Easalytics was missing some enrolled members and attendees.
     
  • Member List: for Club Automation clients we added the member's cancel reason to the Status Reason field
     
  • Club Activity YOY dashboard: updated the dashboard to show the last full month of data consistently across titles, instead of some sections showing part of the current month. 
     
  • PT Intro Show % metric bug: Fixed a bug in how the Show % was calculated. Set is now limited to appointments that have actually occurred within the reporting period. Previously, Set included appointments created for later dates (e.g., end-of-month) before those dates happened, which deflated Show %.
