How does Easalytics count New Members?
We query the member and member agreement APIs each morning for activity from the previous day (i.e. if you book a new member, it will show up in Easalytics the next day). 'New Members' are identified by meeting all of the following conditions:
- SinceDate equals prior day. SinceDate is noted as the day a member first became a member of your club.
- CurrentQueue equals 'Posted'. This means that the transaction has been posted from DataTrak to CRS. If you do not post transactions daily, your day to day New Member counts in DataTrak and Easalytics may be different.
- IsPrimaryMember does not equal '0' (1 = primary member, 0 = secondary members). We use agreement number throughout many of our report processes to identify individuals. If more than one member shares a member agreement, we count only the primary member.
- AgreementEntrySource does not equal 'Transfer'. If a member transfers from one of your locations to another, they may get a new agreement number, but we will not consider them a 'new' member.
- The member's Membership Type is not in the "Membership Type Exclusion List" you provided us during onboarding. Some clubs don't like to count certain types of membership towards their goals (student, children, etc.). If no exclusions were provided, no membership types will be excluded from your counts.
- Source Agreement Number does not equal 'PROSP'. We strip out any non-converted members by excluding all prospects from our query.
- LastRenewalDate and LastRewriteDate are empty/null. There are times a new agreement number may be generated for a member for various reasons. To protect against double counting a member over the course of their memberships as 'new' we verify they have never renewed or rewritten a contract prior to their SinceDate.
