Release Notes May 7, 2025

This month we spent a lot of time on Personal Training dashboards, reporting and tracking, as you will see below.  We've also made improvements to multiple dashboards, fixed bugs, and improved usability and performance across the platform, including these visible updates: 

 

NEW! PT Sales Revenue and Enrollment dashboard

We’re excited to introduce the Personal Training Sales, Revenue, and Enrollment dashboard. This first iteration provides a comprehensive view of PT sales and member activity, making it easier to monitor, identify opportunities, and take action. Key features include:

  • PT Sales & Revenue: View recurring (EFT) and paid-in-full (PIF) sales and revenue by club, salesperson, service item, or purchaser attribute such as age or membership type, for any time period
  • Enrollment Insights: See how many members have active PT packages, how many remaining sessions, and your active PT EFT draft
  • Package Lifecycle Tracking: Get visibility into PT packages that are Expiring, Frozen, or Cancelled, helping you identify members who may need outreach or re-engagement
  • Period Comparison: Analyze performance between any two specified timeframes to understand growth, decline, seasonal patterns, or to assess effectiveness of sales/marketing initiatives
  • Drilldown Capabilities: Use filters to explore performance by club, salesperson, membership type, age group, gender, and more

For a deeper look into how sessions are being delivered, you can pair this with the PT Usage and PT Usage Trends dashboards, which focus on session activity and member engagement over time. Together, these dashboards provide a fuller picture of the PT business, from sale to session.

This is just the beginning—we’ll continue to expand on this dashboard in future releases based on your feedback.

 

Updated PT Intro Session Sales Conversion Tracking (Book, Show, Close)

We're enhancing how we track Personal Training intro, trial, or kickoff sessions and their conversion into PT purchases by new members. This update introduces more precise definitions and an additional metric — Appointment — to better align reporting with actual member and salesperson activity within a given calendar month.

Key Metric Definitions:

  • Book: A future PT intro session Appointment is scheduled, now based on date the Appointment was entered/created (regardless of when the Appointment is scheduled to occur)
  • Appointment: A PT intro session on the calendar in the specified month, based on the date the event is set to occur or did occur
  • Show: A PT Intro session completed by the member
  • Close: A member who purchased PT — but now only if that purchase happened after completing a PT intro session (i.e. they showed up to the Appointment)

Updated Conversion Rates:

  • Book % = Booked appointments / New Members
    (How many new members had a PT intro appointment created in the timeframe)
  • Show % = Shows / Appointments
    (Of those who had an appointment scheduled to occur in the timeframe, how many actually showed up)
  • Close % = Closes / Shows
    (Of those who showed up, how many converted to a PT purchase)

These metrics are now available on the PT Scorecard, Salesperson Performance, and PT Usage > PT Trainer dashboards.

In Easalytics Event Group Admin, you can flag specific event groups as your PT intro or trial events. For current clients already using the PT Book/Show/Close feature, we've created a new Event Group and pre-flagged it as PT Intro.  Any events within these flagged groups will be included in our PT Book and Show reporting.


NEW! PT Usage > PT Trainer dashboard tab

We added a new report tab to the PT Usage dashboard focused on Trainers, to give you better visibility into trainer utilization.  Here you can see the number of members trained, sessions completed, PT Intro Sessions completed (Shows), and PT package Closes, as well as other classes taught and hours spent by your PT Trainers.   

 

Salesperson Performance > PT Booking Metrics 

We’ve added two new metrics — New Member PT Book % and New Member PT Book Count — to the Salesperson Performance dashboard. These metrics track how many new members assigned to each salesperson have booked a PT introductory or trial session.

These metrics are member-based, meaning each member is only counted once, even if they’ve booked multiple sessions. This enhancement gives you a better view of how effectively your sales team is driving engagement with PT intro sessions.

 

Member List > Future PT Session Info

Member List now includes two new fields in the Personal Training section: Next PT Session Name and Next PT Session Date. These fields display the next scheduled PT session within the next 14 days, helping you quickly identify which members have upcoming sessions — and who may need a nudge to schedule unused sessions. Export targeted lists from Member List for follow-up or marketing outreach.

 

Leads Conversion Dashboard Enhancements

We've made several improvements to the Leads Conversion dashboard to make it more actionable and user-friendly:

  • Member Count Exclusion Filter: Added a new filter to exclude specific member types from lead and member counts. By default, it excludes members in the "Bonus Exclude SS/Comp/Emp" Membership Type Group.
  • Lead Goals: Introduced lead goal tracking to the dashboard. You can now set your lead goal using the Lead Goal % of Member Goal slider (defaulted to 200%) and monitor your progress in the % to Lead Goal column.
  • Daily Trend Views: Added a daily trend options to the Trends, Trend Compare, and Trend Data Table tabs for more granular performance insights

 

Improved Deep Linking After Login

Users can now bookmark or share direct links to specific dashboards. If login is required — whether from a shared URL or a timed-out session — you’ll be returned to the intended dashboard page you were trying to access, rather than being redirected to the homepage. This enhancement streamlines navigation and ensures a smoother experience when accessing saved or shared dashboard links.

 

Other Noteworthy Updates

  • Goals dashboard > made updates to improve performance
  • Average Monthly Dues and New Dues metrics > we've made updates to this metric to ensure it is calculated only on recurring dues members
  • Expiring PIF Memberships > added a look-back to the last 3 months at paid-in-full members who have expired and renewed. This reflects members that are still expired, or renewed in the time period.  
  • Homepage Topline Widgets for Check-ins now link to the dashboard tab Check-in Metrics on the Check-ins By Day and Time dashboard
