Description
The Personal Training Sales Revenue & Enrollment dashboard is your hub for analyzing Personal Training package lifecycle, from new sales, cancelled recurring drafts, current enrollment, freeze and cancel analysis, as well as a detailed transaction list. We're seeking to provide a comprehensive view of PT sales and member activity, making it easier to monitor, identify opportunities, and take action.

In the dashboard you'll find these report tabs and capabilities:
PT Sales & Revenue
View recurring (EFT) and paid-in-full (PIF) sales and revenue by club, salesperson, service item, or purchaser info such as age or membership type, for any time period.
PT Transaction List
Investigate the specific PT Transactions and package purchases by member in any timeframe. See details about new purchases, by who, along with first payment dates and cancel/end dates.
Current Enrollment
See how many members have active PT packages, how many remaining sessions and your active PT EFT draft.
Expiring, Frozen, and Cancelled PT Packages
Get visibility into your PT package lifecycle, helping you identify members who may need outreach or re-engagement.
Period Comparison
Analyze performance for a selected period and compare it to a previous timeframe to understand growth, decline, or seasonal patterns.

PT EFT Draft Adjustment Setting
Toggle between All Drafts and 'Adjusted for Cancels and Rewrites' to adjust your New PT EFT Draft, Cancelled PT EFT Draft and Net PT EFT Draft, counting only the upgraded or downgraded amounts and excluding cancellations that happen within 30-days of the sale.
This updated logic is an attempt to better represent the additions and subtractions to your monthly PT EFT Draft, improving the accuracy of your New and Cancelled PT EFT Draft monthly metrics.
- For upgrades and downgrades, aka "rewrites", we look at cancelled packages for a member and see if there was a new sale within 30-days prior to the cancel date.
Upgrades: If the new sale amount is greater than the prior package amount we mark it an upgrade and the New PT EFT draft is only the difference, the added amount.
Downgrades: if the new sale was for less, we mark it a downgrade and in this case we take the difference and count it as a cancelled amount.
- For cancellations, we look at cancelled packages and if the cancellation happens within 30 days of the transaction we zero out the added PT, even if it happened in a prior month; and we also zero out the cancelled PT EFT Draft amount.
The PT Transaction List can show you exactly how a transaction was adjusted for New or Cancelled PT EFT.

Metric Definitions
- PT Revenue: The total revenue collected from Personal Training (PT) services during the selected time period. This includes all payments received for PT sessions, both recurring and one-time.
- New PT EFT: Sum of the first month's revenue for new PT EFT recurring services sold in the report period, based on the price and billing frequency. It is a projection of the first month's revenue from these new PT sessions. This number often contains revenue that has not yet been collected, so may not be immediately reflected in the PT Revenue amount
- Cancelled PT EFT Draft: Calculation of the value of cancelled PT recurring services based on price and billing frequency
- Members Purchased EFT: The number of unique members who purchased a PT EFT recurring service during the selected time period. Each member is counted once, regardless of the number of sessions purchased.
- New PT PIF Sales: The total revenue from PT services purchased as pre-paid, Paid-In-Full (PIF) session packages during the report period. These are one-time payments for PT services without a recurring plan.
- PIF Sessions Purchased: The total number of PT sessions purchased through PIF transactions during the selected time frame.
- Members Purchased PIF: The number of unique members who purchased PT services via PIF transactions during the report period. Each member is counted once, regardless of the number of sessions purchased.
- % First Time PT Purchasers: The percentage of members who purchased PT services for the first time during the selected time period. This metric helps identify new clients entering the PT program.
- % Purchased PT EFT on Join Date: The percentage of new members who purchased a PT EFT recurring service on the same day they joined the club. This indicates the effectiveness of onboarding processes in promoting PT services.
- % purchased PT PIF on Join Date: The percentage of new members who purchased PT services via PIF transactions on their join date. This metric reflects immediate engagement with PT offerings upon joining.
- Service Item: A specific product or service offered by the club, such as a PT session or package. Service items are used to categorize and track sales and revenue within your member management system.
- Active PT Members: Members who currently have active PT packages or sessions. This includes those with ongoing PT services and excludes members whose PT engagements have expired or been canceled.
- Expiring PT Members: Members whose current PT packages or sessions are approaching their expiration date within a defined future period. This metric helps in proactive engagement to encourage renewals.
- Frozen PT Members: Members who have temporarily paused their PT services and are coming off of freeze in the report period.
- Cancelled PT Members: Members who have canceled PT services.
